Implementing a successful project requires an effective
combination of methodologies, capabilities, tools and techniques. The
BPS Australia methodology encompasses the following phases in any project
lifecycle:
- Project Initiation
- Discovery and Conceptual Designs
- Detailed Design and Tender
- Procurement and Implementation
- Migration, Handover and Project Closure
These phases are supported through BPS Australia’s
Project Office
Project Office
BPS Australia will establish a Project Office that will
provide support for your entire project. The core role of a Project Office
is to:
- Standardise the documentation and procedures used
- Provide Risk and Issue Control
- Accommodate Change Management
- Establish Quality Control
- Provide contract and procurement facilities
BPS Australia, ensures both easy decision making and open lines of communications
are in place, through the following 2 project control structures.
Design Control Group (DCG)
The Design Control Group (DCG) consists of technical personnel tasked
with defining the technical requirements of the project. The role of the
DCG is to approve the designs and specifications prior to submission to
the Project Control Group.
The DCG will be the key decision making unit for design and technical
issues and will meet on a weekly basis. All meetings are chaired by the
BPS Australia Project Manager.
Project Control Group (PCG)
The Project Control Group is the single point of approval for all project-related
matters. Minimal technical or design issues are discussed in this forum.
The PCG is responsible for budgetary and overall project decisions and
the final approval and review of all facets of the project.
A skilled Project Manager drives the project through all phases of the
lifecycle and works closely with all relevant sections of the customer
organisation. This ensures all customer requirements are fulfilled, any
threats identified as early as possible and remedial action to guarantee
complete customer satisfaction is undertaken - that means achieving an
efficient implementation on time, within budget and to the customer's
full satisfaction.
Audit Services
BPS Australia prides itself on its team of qualified,
experienced staff that are courteous, technically informed and up to date.
We undertake each project with enthusiasm, professionalism and characteristics
that are comforting to clients when conducting an audit.
BPS Australia undertakes auditing services for all communications
(desktop, systems, carrier services, etc.) and infrastructure, as well
as electrical systems.
The purpose of an audit is to provide a customised, pre-defined
account of an organisation’s current communications, infrastructure
and/or electrical system. This will be manifested as a full technical
report with digital photographs, mandatory and performance standards issues,
recommendations and budget pricing for any rectification works.
When should you consider Audit Services?
- When planning any network upgrades
- When looking to relocate
- When looking to expand your business
In the communications industry we are all faced with the
constant and rapidly changing advancements in technology. There are so
many different standards, so much technical jargon and so many offering
an opinion on what you “NEED”.
Don’t be forced to make an on-the-spot or uninformed
decision about your IT&C infrastructure.
BPS Australia can assist you to have a solid understanding
of your infrastructure, consider your current and future technological
requirements, and provide a reliable, unbiased recommendation for a way
forward.
A picture paints a thousand words - that’s why we
can include digital photography as a critical component of our Auditing
Service.
Here are some of the typical comments we receive as feedback
after performing our audits:
“This is all ours! At least now we
know where it is.”
“I am glad we did this, it has saved us purchasing duplicates!”
“Now we can manage our assets rather than guess!”
“Now we know what we have to move and we can manage it.”
Migration and Relocation Services

(mergers/acquisitions, growth in personnel and technology upgrades) or
simply needs a more convenient location for your business needs, BPS Australia
has the capabilities and experience to handle your relocation/migration
project, large or small.
If you’re thinking of managing the project internally,
perhaps the following will cause you to rethink the actual scale of the
task and the resources required:
- Are you confident that you have the resources to meet your set objectives?
- Are you aware of all the potential risks involved, their impact and
how they will be managed?
- Who will ultimately be accountable for any problems/ issues that arise
and their resolution?

Throughout the physical move, the BPS Australia team establishes a “Relocation
Command Centre”, which plays a pivotal role in the overall success
of the project. The Centre provides a focal point for all management,
operational, technical issues and decisions. It is also the control and
facilitation point for every component in this
process.
An overview of the BPS Australia’ relocation
methodology:
Project Initiation
The definition, costing, planning and formation of the project tasks and
deliverables.
User Requirement Brief and Conceptual Design
Confirmation of the clients’ needs through the approval of the client
brief, followed by clearly identifying and documenting the current technology
and the new requirements.
Detailed Design
Focuses on specifying the selection of equipment and service providers,
the preparation of any tender specifications and final designs, the management
of those tenders and the preparation of the project budgets and programs.
Relocation / Migration Plans
Identifies the business, people, equipment, infrastructure and systems
to be relocated; the scope of works involved for each, prepared schedules
and resolution issues formulated into usable plans.
Risk Mitigation Plans
Are developed to thoroughly investigate all situations that may occur
that could adversely affect the success of the project, together with
identified mitigation strategies.
Change Management
From stage one, a change management process is implemented to ensure total
control of the scope of the project and, ultimately, the finances and
deliverables.
Issue Management
A centralised issue management procedure is put in place that assists
in management of issues and their resolutions so as to minimise any effects
that will occur unless action is taken.
Construction and Implementation
We will oversee the coordination of all site activities, approving Inspection
Test Plans and monitoring, reporting and rectifying exceptions to the
specification. Through this role we maintain site quality and installation
program compliance of resources and managing the subcontractors on your
behalf.
Relocation Migration, Handover and Closure
A detailed relocation plan is developed (in consultation with the client)
that outlines the processes to be undertaken during this phase. It will
also see the completion of all documentation and handover manuals for
the client, the finalisation of all financial and contractual obligations
and the issuance of a Project Closure Report identifying the key successes
of the project, areas to be resolved and the subsequent archiving of the
Project.

Distributed Systems
Faced with a multitude of new technology options, sourcing
the best solutions for your enterprise requirements becomes an overwhelming
task.
“The most expedient way to design
new strategies and implement new technology is to utilise the skills
of someone who’s already highly experienced in the area”
BPS Australia has significant expertise in the areas of
systems integration, Standard Operating Environments, Network Operating
Systems, Directory Services and Messaging Systems, among others.
We have the capability to provide you with recommendations,
project management and turnkey solutions for the efficient and professional
integration of your systems.
In order to meet your operational concerns, BPS Australia
takes all factors into account - the completion date, budget tracking,
the effects on end-users, the critical success and risk factors, the stakeholders
involved in the process and the business drivers.
Standard Operating Environment (SOE)
Design and Implementation
BPS Australia’s SOE design and implementation services
are focused on reducing the total cost of deploying and maintaining corporate
computing environments. These environments can include hardware, operating
systems, application software, directory structures, drive mappings, distributed
file system (DFS), printers etc.
Automatic Software Update Facility
Software can be automatically "pushed" out to
computers using the SOE. This will be a significant benefit to local IT
staff and users who are currently required to carry out software upgrades
on all computers individually.
Centralised Support
IT staff can provide more efficient support with their
skills focused on supporting one environment rather than being spread
over a range of systems.
Integrated Training Capability
Training materials can be developed for the SOE to avoid
duplication of similar materials for different environments. In addition,
training materials can be customised to exactly match the SOE rather than
providing general examples.
Cost Benefits
Standard software can be purchased and maintained at an
organisational level allowing
for volume purchasing and support agreements. The benefits of more effective
IT
support, training and resources saved by automatic software upgrades will
also bring
about cost savings.
Maintaining Standards
Now you can ensure that all staff will use the same default
settings for their office
applications and have limited access to altering their desktop. This will
minimise the need for potential ‘support calls’.
Our Deployment Methodology
BPS Australia’s proven methodology has been demonstrated
through efficient deployment of many different operating systems, upgrades,
applications and ‘hot fixes’ using a variety of branded deployment
tools and inhouse scripting.
Needs analysis and functional specification
The first phase is to undertake a business needs analysis
and develop a functional design specification detailing the process whereby
the existing environment will be migrated into the new environment (or
the upgrade of the existing environment), and developing how the deployment
teams and client will collaborate.
Planning and Piloting
The second phase includes the planning and piloting of
detailed structures and implementation of the methodology including documentation.
In a secure environment these designs are tested and modified to ensure
the achievement of the initial business goals and the success of the project.
Development
The deployment phase defines the process for delivering
the solution that has been tested and proven suitable for the client’s
environment, including a pilot program that refines the plan and provides
further test designs.
Throughout the life of the project, BPS Australia provides
reviews that are supported by the following processes and procedures:
- Deployment and Migration plan,
- Operations and support information system (knowledge base, procedures,
and processes for performance support, including test results and testing
tools),
- Load or image set and installation scripts,
- Documentation repository (hard and electronic copies of all project
documents, including deployment notes, are archived),
- Training material for end-users, administrators, helpdesk, and operations
staff,
- Change Management Plan,
- Project closeout report,
- Ongoing Support and Maintenance Plan.
BPS Australia considers it vital that the numerous technology dependencies
are understood fully during planning and deployment. The following examples
illustrate just a few of these dependencies.
- Active Directory and Domain Namespace
- Active Directory and Exchange Server
- Integrating Exchange Server
- Remote OS Installation
Business Continuity and Disaster
Recovery
Business Continuity is vital to business success and this
process is no longer the sole responsibility of the IT department. A comprehensive
Business Continuity program belongs to the business as a whole, not just
a single department and must be managed in that context.
How can an organisation continue in business after a disaster
if they do not speedily replace or restore all infrastructure and processes
affected by the disaster?
- Will their clients wait for them to rebuild?
- Will their business partners know exactly what is happening?
- Will their staff know exactly what is happening?
- Why would their competitors wait till they rebuild until they start
taking their clients?
- Will they have the financial resources to rebuild?
How do you determine what components must be included
in a comprehensive continuity program? How do you assess the adequateness
of those components and processes? How do you test the program? How do
you start? Even if you have the skills to construct such a comprehensive
program do you have the skills to ensure that it will work when required.
BPS Australia has the experience in the development, implementation,
testing and lifecycle management of Disaster Recovery strategies and Continuity
of Business planning for corporate organisations.
Our first task in assessing an organisations business
continuance/disaster recovery strategy is to analyse present systems,
infrastructure and existing business continuance plans (if any) which
is given a rating. This is supported by a comprehensive report detailing
the adequacy of present systems to forestall disastrous events, an objective
analysis of existing recovery plans and a list of actions to further minimise
the business continuity risks facing the organisation.
Research conducted by Gartner (www.gartner.com) in 2000
found that over 60 percent of IT managers surveyed did not believe their
companies had a basic continuity plan to mitigate the effects of a disaster.
It was also shown that most disastrous interruptions to business systems
and processes are caused by human intervention either external or internal.
Risk Assessment
But why an assessment? An independent assessment provides
a blueprint detailing areas of risk in an organisation. These assessments
will identify key individual areas of risk needing immediate attention,
but more importantly an assessment provides management with a true picture
of the total risk to their organisation of being able to continue in business
after a disaster, then management can indeed manage the risk because they
know exactly what the risk is.
Disastrous loss of an organisations IT Infrastructure
and stored data can be caused by many minor and unrelated events or unforeseen
catastrophic events. Because of this our audit program has three distinct
stages.
BPS Australia Assesses:
- The adequateness of preventative measures that should minimise the
risk of a disastrous loss of business and IT infrastructure including
stored data. This can include but is not limited to power protection,
physical security etc.
- The ability of an organisation to speedily recover stored data, business
and IT infrastructure after a disaster occurs.
- The operational procedures and existing business continuance program,
its ability to allow the organisation to speedily resume business in
the same method and using the same processes as they were prior to the
disaster.
The assessment methodology is linked to strict risk management
procedures that provide a business centric DR risk rating for the organisation.
Together with a detailed audit report that provides a summary of existing
systems, procedures and programs together with recommendations on any
risk minimisation with those processes.
BPS Australia also supply a comprehensive action list
to management to enable them to cost effectively implement any recommendations
arising from the assessment. Where required we can also provide assistance
in the planning, construction and management of risk identification and
mitigation associated with Disaster Recovery and Business Continuance.
Disaster Recovery Planning
A typical Disaster Recovery Plan includes the following:
- Emergency Response Procedures
- Decision Making Flow Charts
- System Restoration Strategy and Procedures
- Network Restoration Strategy and Procedures
- End User Recovery Strategy and Procedures
- Notification Directories
- Plan Testing and Revision History
BPS Australia provides skills transfer to assist clients in maintaining
company-wide Disaster Recovery Plans.
Disaster Recovery Sites
Recovery Support Services are designed to suit those businesses that
require a fully operational alternative site for use in the event of a
disaster.
BPS Australia recognises that state-of-the-art computing facilities are
necessary to facilitate a fast and effective recovery from a major interruption
to an organisation’s operations, therefore, BPS Australia will assist
with Disaster Recovery Site selection and, if required, will plan, design
and construct such facilities.
Voice Systems and VoIP Solutions
From simple branch level PABX solutions to major multi-million
dollar PABX networks and Call Centres which incorporate voicemail, ACD,
CTI, ISDN and other collaborative messaging technologies, we can devise
a solution for your needs.
More and more companies are now visualising the unlimited benefits of
converging multimedia, voice and data networks.Due to advances in technology
greater cost benefits, scalablity and customised architecture are achievable.
BPS Australia provides the ability to maximise existing infrastructure
investments whilst leveraging the latest in voice and data network technologies
- IP Telephony. Technology known as Voice over Internet Protocol (VoIP)
is used to combine voice and data communications via a common transmission
medium - a data network.
The same factors that continue to drive the growth of the World Wide
Web,
e-commerce and other IP based technologies, make IP telephony attractive
to all types of businesses. The solution provides opportunities not just
for intra-business communication and the need for regular, long distance
and international billed calls, but also for other enhanced features that
allow you to better reach and serve your customers. For example: web based
call centres, ‘click to talk to a rep buttons’ and even video-phones.
BPS Australia can also ensure the appropriate levels of design, tendering
and implementation are undertaken, conduct reviews of current carrier
services and provide a consultancy service focused on the effective use
and ongoing training of telephony systems.
BPS Australia provides a solid and scalable foundation for future growth
to leverage the next generation of IP Telephony business applications
based on Voice over IP (VoIP) that will:
Reduce your network operating costs
By using less expensive, standards-based infrastructure equipment.
Lower administration costs
By utilising easier call management and simpler user interfaces.
Optimise existing resources
Via convergence of existing network resources and increased application
integration.
Increase productivity
By making the retrieval of information quicker and easier through increased
application integration.
